  • Consent - we have permission from you after we gave you all the relevant information. This is the basis on which we collect and use your health information. All of your data protection rights may apply, except the right to object. You have the right to withdraw your consent at any time.

  • Contract - we need to collect and use the information so we can carry out our service to you. All of your data protection rights may apply, except the right to object.

Clients under 18

Some of our clients are under the age of 18. Where a client is under 16, a parent or guardian must accompany them and provide consent. Where a client is aged 16 to 18, we require written consent from a parent or guardian before a session takes place. We handle children’s personal information with the same care as any other client, and a parent or guardian can exercise a child’s data protection rights on their behalf.

How long we keep information

We keep your personal information only for as long as we need it. Our retention periods are:

  • Client health and treatment records - Retained for 7 years after your last treatment. Where the client was under 18, records are kept until their 25th birthday, or until their 26th birthday if they were 17 at the time of their last treatment.

  • Client contact and booking records - Retained alongside your health records for the same period, then securely deleted.

  • Payment and transaction records - Retained for 6 years plus the current tax year, to meet HMRC requirements.

  • Marketing sign-ups - Retained until you withdraw your consent or unsubscribe.

  • Enquiries that do not become bookings - Retained for up to 12 months, then deleted.

When information is no longer needed, we delete or securely destroy it.

Who we share information with

Data processors

We use the following organisations to process personal information on our behalf:

  • Squarespace (website hosting and online booking platform, USA / Ireland) - hosts our website and provides our online booking and appointment scheduling system, storing client contact details and booking information submitted through the site.

  • Google (email and cloud storage provider, USA / Ireland) - provides our email service and cloud storage; client correspondence and information sent or held by email is stored on their systems.

Others we may share information with

  • Professional or legal advisors

  • Emergency services (where necessary to protect someone’s health or safety)

Sharing information outside the UK

Where necessary, our data processors will share personal information outside of the UK. When doing so, they comply with the UK GDPR, making sure appropriate safeguards are in place.
